AI receptionists for small business
Compare RingCentral AIR, Smith.ai and Rosie for inbound calls. Choose around what happens after the answer: a message, a confirmed booking or a transfer to your team.
Choose an AI receptionist for your small business
Start with the call you want handled: a message, a booking or a transfer. These options use different quotas and workflow boundaries. Compare the documented plan, then run a small call pilot; this is not a hands-on ranking.
Phone reception options: booking, transfer and billing differences| Starting option | Call workflow | Booking and transfer boundary | Billing unit |
|---|
| RingCentral AI Receptionist | Forward an existing business line or use a dedicated number. | Scheduling uses supported integrations or SMS links; check coming-soon connectors. | Monthly subscription plus minutes; RingEX is a separate bundle component. |
|---|
| Smith.ai AI Receptionist | AI-first intake with a live escalation path. | Separate AI-initiated escalation from paid planned human verification or booking. | Calls per month, extra calls and optional human involvement. |
|---|
| Rosie AI Receptionist | Message capture first; expand booking and transfer features by plan. | Professional sends booking links; Scale adds direct calendar booking and warm/live transfers. | Minutes per month; extra-minute price still needs confirmation. |
|---|
Consider RingCentral AIR for contextual routing with a standalone or RingEX phone setup. Confirm each connector and total phone bill.
Standalone AIR starts at USD 49/month with 100 minutes. AIR with RingEX is shown as USD 39/month plus USD 30/month for RingEX Core. Overage is USD 0.50/minute, rounded up in 30-second increments; extra bundles and other charges may apply.

Consider Smith.ai when the human handoff path matters. Ask which calls count and how additional human work is billed.
The current Free plan has 25 calls/month, then USD 3 per extra call. Pro starts at USD 150/month for 75 calls, with USD 2.50 per extra call at that tier. Enterprise starts at USD 500/month for 300 calls. Planned live-agent involvement is a per-call add-on; confirm its price and your call tier.

Consider Rosie for a smaller phone workflow. Choose the plan around the booking and transfer actions you need, not just the entry price.
Professional is USD 49/month for 250 minutes; Scale USD 149/month for 1,000 minutes; Growth USD 299/month for 2,000 minutes. A seven-day trial is advertised. The extra-minute rate was not verified; confirm it along with add-ons before paying.

Keep your number and control when calls reach AI
Confirm how your carrier forwards calls, whether callers see the existing number, and what happens when forwarding fails. Start with after-hours or overflow coverage if staff still answer the main line. Check opening hours, holidays, multiple locations and the backup destination.
- Call during open and closed hours; inspect where each call actually lands.
- Ask for a person and test no-answer, busy and disconnected destinations.
- Verify that the transfer includes context and that the caller hears a clear fallback.
Appointment requests are not confirmed appointments
A message saying a caller wants Tuesday is an intake record. A confirmed booking requires the expected entry in the connected calendar or scheduling system. Specify appointment type, duration, provider, location and time zone, then test rescheduling and conflicts.
- Book a fictional appointment and inspect the actual calendar entry.
- Try an unavailable slot and a request outside opening hours.
- Check duplicate prevention, cancellation and how staff recover a failed booking.
Compare minute and call quotes without mixing them
Use your own billable-minute or billable-call history. Long calls change a minute bill; extra calls change a call bill. Ask about rounding, spam exclusions, number rental, texts, setup, integration, human involvement and cancellation. Unknown charges need an answer before comparing totals.
Test before routing real callers
Use fictional names and numbers for a message, a booking, a change of appointment, a request for a person and an unsupported question. Record what actually happened, the staff correction time and billed usage. This is a proposed evaluation, not a recorded product test.
- Check the callback number, message accuracy and approved-answer source.
- Keep changes within the actions you approved; do not let a fluent answer count as a completed booking.
- Review recordings, access, retention and deletion terms before sharing caller information.
