What to prepare

  • Choose one repeated job, one input source and one output. Leave other business processes outside the pilot.
  • Name the owner who can check outputs, approve changes and handle failures. Record the current weekly time spent on this job.
  • Set a monthly budget including seats, connected apps and usage. Confirm how to pause the workflow and keep doing the job manually.

Use five fictional meeting notes and ask for internal follow-up drafts. Keep sending manual. Record minutes spent preparing, reviewing and correcting the drafts, plus usage. Compare that total with writing the same drafts manually before extending the workflow.

Choose one branch that matches the job

Run a small sample with the owner present

Try five representative items from the chosen job. Include a missing input and a repeat item. Record whether a draft stays a draft, whether an app write needs review and whether an unanswered customer question reaches a person. Check the selected product supports the behavior before using live customers or records.

Count the full maintenance effort

Record setup time, checking time, corrections and usage. Compare them with the original manual process. Include the time needed to keep instructions, connected apps or FAQs current. If the owner cannot identify a failure or pause the process, narrow the job before adding another connection.

How to decide whether it passed

  • The chosen output meets a written definition of done, with mistakes logged rather than hidden.
  • No message or app change goes outside the approval boundary agreed for the pilot.
  • The owner can pause the workflow, identify a failed item and complete the job manually.
  • Total owner time, including review and maintenance, and total monthly cost can be compared with the manual baseline.

When to pause the rollout

Pause if review takes more effort than the original job, costs cannot be explained, or the owner cannot recover a failed item.

Estimate the full cost

Estimate fixed monthly seats and connected-app fees, then add the variable cost of credits, activities or conversation quota. Include owner setup, review and maintenance time; do not infer savings from a vendor headline.

Which workflow should a small business automate first?

Choose a repeated, bounded job with a clear input, checkable output and an owner who can handle exceptions. Start with the branch that matches the work; a broad business-agent label is not enough.

Does free access mean an ongoing free business workflow?

Check the unit and renewal rule. Zapier Agents has an activity allowance separate from Zap tasks. Lyro starts with a one-time allowance; recurring AI conversations require a paid quota. Other connected apps may have their own subscriptions.
