  • Write the approval rule: which outputs stay internal and which external change needs a named approver.

Use fictional meeting notes with one agreed next step, one open question and no discount offer. Request a short recap and a draft email. Check that the open question remains open, the next step matches the notes, and no discount or unsupported commitment is added.

Draft the account brief

Check every name, date, number and commitment against your source notes. A brief is a starting point for a rep, not a record of customer intent.

Prepare the follow-up draft

Wire one app action

If you use Zapier Agents, connect only the apps the agent may use, teach it what to do, and test that workflow before wider use. Actions consume an activity allowance separate from ordinary Zap tasks, and a person continues a run when the cap is hit. App access, triggers and instructions all need configuring.

How to decide whether it passed

  • The account brief contains only facts traceable to the notes, emails or recording you supplied.
  • The follow-up draft contains no next step, discount or commitment the customer did not state.
  • The app action performs one defined task and is reviewed before wider use.
  • A named person approves any email, CRM update or other external change.

When to pause the rollout

Stop if a draft invents a commitment, if an action would touch external systems without an approver, or if nobody can explain the Zapier setup.

Estimate the full cost

Budget for the selected chat or workflow tier, connected-app subscriptions and credits or activities consumed per run. Measure usage on a test record before scheduling repeated runs.
